Register for Group Bookings

To enjoy special group rates, the organisation must appoint a representative to be the Point of Contact (POC). Please provide the POC’s details.

Group Booking Benefits

  1. Eligible groups with a minimum confirmed booking of 10 rooms will enjoy complimentary two-way shuttle transfer between hotel and exhibition venue during exhibition days (28 to 31 October 2025).
  2. Group booking room rate offer is a “Static Room Rate” and is applicable for pre, post and during the exhibition period, subject to availability.
  3. Special upgrades of VIPs to the next room category is subject to availability of the hotel.
  4. Flexibility of hotel room deposit to be paid by “Individual Account” or by “Company Account”.
  5. In the event of overbooking, rooms not utilised could be returned without penalty if done before the stated deadline.
  6. Travel concierge to assist and answer queries from the POC.

Group Booking Terms and Conditions

  1. Hotel reservations and arrangements are the sole responsibility of all participants.
  2. Burnaby Solutions Pte Ltd is the appointed Official Travel Agent for ITMA ASIA + CITME, Singapore 2025.
  3. All credit/debit card charges will be made in the merchant's name: Burnaby Solutions Pte Ltd.
  4. Payment by bank transfer must be paid to the following bank account:

  5. Burnaby Solutions Group Booking Portal is a facility offered to the POC who has signed up with Burnaby Solutions Pte Ltd Group Booking Portal through a registered login account.
  6. The POC, upon being granted access to view the Group Accommodation Room Rates, hereby declares that he or she is authorised to represent and reserve group booking accommodation on behalf of the company or organisation.
  7. The authority of the POC when using the Group Booking Portal is to enable flexible arrangements based on the following conditions:

    1. Group booking rate eligibility requires the POC to book a minimum of 10 rooms for ITMA ASIA + CITME, Singapore 2025.
    2. Each stay must meet the minimum requirement of 2 consecutive nights stays' within the exhibition period - 21 October 2025 to 4 November 2025.
    3. The Group Booking services offers the POC the ability to act on behalf of the organisation to share the Group Booking room rates amongst the organisation's affiliates and associates.
    4. The Group Booking services also offers the POC to pay a hotel room deposit or full payment of group booking for the group he or she books online through our Group Booking Portal by indicating on our group booking portal options of the following:

      • Option I
        (Room deposit or payment of accommodation) be charged back to POC Account.
        The POC, on behalf of his or her organisation, will undertake to pay the hotel room deposit or full payment.
      • Option II
        (Room deposit or payment of accommodation) indicated as "Payable by Individual".
        The individual with email address given by the POC to Burnaby Solutions, is deemed to have allowed Burnaby Solutions to act on behalf of the POC to collect payment by forwarding an online payment link for settlement of the hotel deposit/full payment, and thereafter to allow Burnaby Solutions to send a hotel confirmation letter confirming the booking.
    5. Roles & Responsibilities of POC:
      The POC will assume the following responsibility for his or her organisation, affiliates and associates:

      • Group size decreases and does not meet the minimum requirement through last minute cancellation or shortening of stay by group members.
      • Individuals who are part of the group and refuse to make deposit or full payment, or decide to shorten or cancel their stay.

      The POC will assume responsibility for payments committed based on the earlier group room block reserved for the period.

  8. In the event that your travel dates change after submitting your booking request, please notify Burnaby Solutions immediately at itmaasiacitme2025@burnaby-solutions.com.
  9. Booking is only confirmed when payment is received. Payment via bank transfer must be received within 5 working days from the date of booking. The room booking will be released otherwise.
  10. A handling fee applies for payment by credit or debit card at 3.5%.
  11. Payment by bank transfer must be net of all bank charges. Burnaby reserves the right to demand any shortfall in payment due to bank charges.
  12. All room rates are subject to a 10% service charge and 9% goods and services tax (GST). If there is a change in the GST rule after the date of invoice, Burnaby reserves the right to recover all GST charges from the participant.
  13. Rates are valid only for rooms booked within the exhibition period - 21 October 2025 to 4 November 2025.

Payment Terms

  1. For group bookings (bookings of at least 10 rooms), the total accommodation room rates are payable in the following phases:

    1. 10% of total contracted stay (non-refundable in case of cancellation), upon the confirmation of the accommodation booking by the participants.
    2. 150 days prior to the first check-in date, 30% of total contracted stay.
    3. 90 days prior to the first check-in date, 30% of total contracted stay.
    4. 45 days prior to the first check-in date, 30% of total contracted stay.

Cancellation Policy

  1. At least 150 days prior to the first check-in date, 100% of the total room nights can be cancelled, less the 10% non-refundable deposit.
  2. At least 120 days prior to the first check-in date, up to 75% of the total room nights can be cancelled without charge.
  3. At least 90 days prior to the first check-in date, up to 50% of the total room nights can be cancelled without charge.
  4. At least 60 days prior to the first check-in date, up to 10% of the total room nights can be cancelled without charge.
  5. Within 30 days prior to the first check-in date, 100% charge for every cancelled room night.

Refund Policy

Refunds are subject to credit card processing fees of 3.5% and an administrative charge of SGD 10 net.
